Policies and Procedures for Vending at Antir West War 2009

 

  • Merchant fee does not include site fee.  Please pay your site fee once you get to site, or go through pre-reg system.  We encourage merchants to pre-reg for their site fee – it will save time when you arrive!
  • All vendors are required to sell SCA appropriate.  The autocrat staff reserves the right to ask for removal of items not suitable for sale at an SCA event.
  • All vendors are required to wear SCA appropriate garb, except at set-up and tear-down.
  • Please provide your own manpower to set-up and tear-down your booth.  The event staff will not be available to help you with this.
  • Please supervise your children and pets at all time.  Keep your pets on leash, and pick up after them.
  • No smoking is allowed in the Marketplace public areas or in any area that interferes with the comfort of others.
  • Market setup begins at 10am, Thursday, July 2, 2009. You will have the ability to drive in and unload. In order to prevent congestion, please unload your vehicles and park before beginning set up of your booth. Driving in the marketplace is restricted for the duration of the event until pack down on Sunday. Direct access exceptions will be made at the Marketplace Coordinators’ discretion.
  • Be aware that there is no running water or electricity on-site but there is potable water in large containers. Gray water dump stations will be posted around the site for disposal of waste water. The marketplace is considered quiet camping. Posted quiet time will be observed. Please be courteous and follow the rules of the event at all times.
  • For those who are keeping trailers or RVs at their site for camping, please make sure the trailer is disguised (covered or hidden).
  • Vendors must be reloaded and off site by 6:00 pm, Sunday, July 5.
  • The Autocrat and Merchant Coordinators reserve the right to make adjustments to sites if necessary.

Food Vending:

Since food merchants provide modern food using modern methods, their booths should focus on health and safety and need not focus on period appearance, although a period appearance would be welcome.  Food merchants still need to wear SCA garb. 

 

Although the State of Oregon does not require a temporary restaurant license for private events such as SCA events, the Health Inspector will likely come out to inspect the food merchants.  Be prepared to be inspected by following these requirements.

 

  • - Have fire extinguishers readily available and visible
  • - For garbage use a watertight container with lid.
  • - Use gray water dump stations
  • - Have hand-washing stations. Set up handwashing facility FIRST! This must be done before handling food and utensils. Use a sink with warm running water or provide a 5-gallon container of warm water with a dispensing valve that provides a constant flow of water when opened.
  • - Provide dispensed soap, paper towels and a wastebasket. Do not use cloth towels to dry hands.
