Pre-Registration Refund Information

The ACCEPS processing fee is non-refundable.

All refunds must be requested of the host branch via the ATWW09 Event Coordinator (not ACCEPS) and will be issued by a check from the host branch. Refund requests must be made in writing and postmarked or e-mailed to the Event Coordinator by June 18,2009. Refund requests must include the same information submitted on the pre-registration form. If you decide to attend the event after mailing a refund request, you will be able to attend the event, but will not receive a refund. Refunds will be mailed out after the event.

Gate Policy

General: Regardless of which day you arrive at site, it is imperative that you enter through gate as your first order of business. To assist with finding you if a problem arises, we are asking you to complete your parking pass and tape it to the front passenger side of your windshield before leaving gate. We will have tape available for your convenience.

At gate you will receive the following: site handout, instructions for parking, site token.

Gate fees: Please make checks out to "SCA, Inc., Kingdom of An Tir." Unless you have pre-registered, you must show your blue membership card with your signature or your copy of your kingdom newsletter showing expiration date in order to qualify for the member rate.

Waivers - All waivers will be required and will be available at the gate. Minors (anyone under 18 years of age) must have a completed Minors Consent to Participate and Hold Harmless Agreement. This form must be signed by their parent or guardian and be accompanied by a picture ID of the parent, showing both picture and signature. Gold Beach is a small town and there is no 24 hour fax availability. Those without the proper forms and permission face the possibility of being turned away from the gate. Unaccompanied minors must also have Medical Authorization for Minors (for use at U.S. events). This form must stay on the minor at all times.

Gate check-in on Thursday: The site opens July 2nd for all attendees. Early entry is available at 10:00 am for merchants and pre-registered attendees only. Do not show up early unless you have pre-registered; you will not be allowed on site until the gate opens for general admission at 12:00 pm. Gate will close at 2:30 am Saturday morning.

Volunteers are needed!! It would be a great help if you are able to confirm the times when you are available prior to arrival at the event. If this is not possible for you, please stop by gate after you arrive; we will find a place for you. To volunteer, please contact Lady Qaratani Oyugen at qaratani(at)gmail(dot)com. There will be sign up sheets on site also!

Information for gate volunteers: Shifts will be 3 hours. Please check in at gate at least 15 minutes before your shift begins. Most gate volunteers will be greeting cars and assisting the occupants with the registration process. During heavy traffic times, at least one person will assist gentles with getting in the correct traffic lane (pre-registration or onsite registration).
