The event usually works well in schools of some sort as those venues have the rooms that are required...like space for Ithra classrooms (AS 34 there were 12 tracks for the Ithra). We also need a larger room, like a gym or some sort of room like that, where various displays, merchants, guild displays, artisan's forum and for a general populace relaxation area as well as Court. For the entrant displays and judging we need another two rooms. One large enough for all the entrants to display their entries on tables (the typical 6x3 tables, provided with the site, along with some chairs for people to sit in as it can be a long day), and the entrants and the judges who are moving around. The second room, for judges, should be large enough for the judges to store their things and talk privately when necessary.
We also highly encourage rooms that are large enough to accomodate the populace to be able to go through and look at the displays.
Bardic entrants are an important consideration as they need their own room for their presentation. Not only do these presentations have three judges and the entrant, but members of the populace should also be able to watch.
Cooking entrants should also be considered. If there are no cooking facilities on site, then perhaps having the use of someone's house near the site would work. Once again, we would know there are cooking entries by January.
On Sunday, the finalists for Champion present their entries to a panel of five judges, TRM's and any populace who may be interested. This requires a room large enough for people to sit and watch, but not too large that no one can hear the contestants speaking. Once again if this is in the gym area there are noise problems, unless there is some sort of sound barrier that can be partly closed to prevent too much noise from traveling.
Most years have included a feast. Feasts are a nice way of giving people from out of town something to do, including TRM. To my knowledge, the feasts have always been sold out at this event. You should also try to make sure there is some private space for TRM to relax during the day. being as this is the biggest arts event of tech year there is always a Laurels meeting, and therefore there should be a private room in which this can occur (it is possible to use the room where the bardic entries occur for this).
Attendance has hovered around 200 people. If you wish too look at the event reports for these events, please check out the exchequer web page.
Autocrats for the event should be aware that the Kingdom A&S Championship is an event that is specifically run by the Kingdom A&S Minister. This includes not only the competition, but also any displays or classes that are held. The autocrat looks after any space requirements, running gate, putting the announcement in the Crier (this should be run by the Minister first) etc. The Minister will work out these details with the selected autocrat.
If you have more please feel free to contact The Kingdom Arts & Sciences Minister.
